Narrative Submission Finalization Tips

Office of the U.S. Global AIDS Coordinator and Health Diplomacy, U.S. Department of State

Checklist for finalizing program narrative submissions

Before You Mark Final

  • Resolve all system validation errors
  • Confirm totals match approved source files
  • Keep annex filenames short and descriptive
  • Remove draft comments and tracked-change artifacts from uploads

Attachment Guidance

Large files may timeout. Split annexes when the portal prompts you, and avoid embedding personal identifiers in free-text fields or filenames.

After Final

If a correction is required post-Final, follow the mission's revision process rather than creating duplicate narratives.

Audience

Partner staff preparing quarterly indicator narratives ahead of a FACTS Info data lock.

Recommended steps

  1. Complete required narrative fields before uploading late attachments.
  2. Run built-in validation and resolve blocking errors early.
  3. Confirm agency reviewers have visibility before the lock timestamp.
